DESCRIPTION

Record an entire year of small-business income and expenses by hand with this Annual Profit and Loss Statement for Small Business. The one-page printable worksheet provides monthly columns from January through December for organizing sales revenue, cost of goods sold, operating expenses, estimated tax amounts, gross profit, and net profit.

This handwritten version is designed for business owners who prefer paper records. All category labels, monthly amounts, and totals are written and calculated manually.

The landscape worksheet keeps all 12 months together so you can review the year without turning between separate monthly pages. Use the blank category rows to create revenue, cost, and expense labels that match your own business.

Because a complete year is condensed onto one US Letter-size page, the monthly writing boxes are compact. This form is best suited to small businesses with a manageable number of categories and shorter dollar amounts. Write neatly and use small handwriting for the clearest results.

Sales Revenue

Use the first section to list the income categories relevant to your business. These may include online sales, in-person sales, service income, or other sources you choose to track.

Record the amount for each category by month, then add the entries in each monthly column to determine the Total Revenue.

Cost of Goods Sold

Use the Cost of Goods Sold section for direct costs associated with the products sold, based on the categories used in your own records.

Add the applicable entries for each month to determine the Total Cost. Subtract Total Cost from Total Revenue to calculate the monthly Gross Profit.

Operating Expenses

The Operating Expenses section provides blank rows for business costs such as advertising, fees, supplies, shipping, rent, utilities, subscriptions, professional services, or other expense categories applicable to your business.

Add the expense entries in each monthly column to determine the Total Expenses.

Taxes and Net Profit

The Taxes section includes lines for federal, state, and local tax rates. These fields may be used when you choose to estimate and record tax amounts as part of your own manual calculations.

You may calculate net profit before estimated taxes by subtracting Total Expenses from Gross Profit:

Gross Profit − Total Expenses = Net Profit Before Estimated Taxes

When recording estimated tax amounts, first subtract Total Expenses from Gross Profit. Multiply the remaining amount by each applicable tax rate to estimate the federal, state, or local tax amount you choose to record.

Then subtract Total Expenses and the recorded estimated tax amounts from Gross Profit to determine the remaining net profit:

Gross Profit − Total Expenses − Estimated Tax Amounts = Net Profit

These calculations are completed entirely by hand. The PDF does not perform calculations, verify formulas, determine applicable tax rates, or confirm whether the resulting figures are appropriate for accounting or tax purposes.

How to Use

  1. Write the business name and reporting year at the top.
  2. Add your own labels to the blank revenue, cost, and expense rows.
  3. Record the applicable amount for each category and month.
  4. Add each month’s revenue entries to determine Total Revenue.
  5. Add each month’s cost-of-goods-sold entries to determine Total Cost.
  6. Subtract Total Cost from Total Revenue to calculate Gross Profit.
  7. Add each month’s operating expenses to determine Total Expenses.
  8. Subtract Total Expenses from Gross Profit to calculate net profit before estimated taxes.
  9. When desired, calculate and record estimated tax amounts using the tax rates applicable to your own situation.
  10. Subtract Total Expenses and recorded estimated tax amounts from Gross Profit to determine the remaining net profit.
  11. Review all handwritten entries and calculations for accuracy.
